Description
The main objective of the project is to enhance and expand SenseTasks''s document processing capability in order to increase the market share on the intelligent document processing industry and generate sales and profit engine for the company. The project includes building an artificial intelligence (AI) based software platform that can process any type of document. The solution is expected to improve productivity in a workplace, significantly reduce paper consumption and to enable professionals to process and access documents remotely.
The AI platform is expected to be able to self-learn from corrections and retrieve key data from various documents in multiple languages. Key activities include:
- External consultancy which includes financial audit.
- Develop, test, validate and scale up the new solution.
- Publicity to ensure the visibility of the project.
Expected outcomes of the project include 9 new jobs generated and a new Intellectual Property Rights application to obtain a patent.
The project will be implemented in partnership with ICB Digital AS which is an innovative Norwegian software company that focuses on enabling digitalization processes in industrial enterprises and production environments. The activities of the partner include input on key elements in the software development, make a translation package for the Norwegian language and provide a product requirement report based on feedback obtained from the Norwegian market.
Summary of project results
The project aimed to address significant challenges in document management, particularly in extracting key information efficiently. Statistics showed that over 21% of productivity loss was due to document issues, with professionals spending an average of 18 minutes searching for documents. Additionally, most original papers were photocopied 20 times, indicating a lag in document-centric systems despite technological advancements.
Another challenge was accessing unstructured data in various formats, such as images and PDFs, which wasted time. The COVID-19 pandemic exacerbated this issue for paper processing businesses, as employees couldn''t work from home and papers couldn''t leave the office. A digital paper scanning solution addressed this by allowing a few workers to read documents in the workplace while others processed them remotely.
The project, SenseTask, aimed to become a key player in the IDP industry and the long-term vision was to become the first comprehensive document processing solution on the market, capable of efficiently extracting key data from various document types. The aim was to bring a modern and multifunctional product applicable in multiple verticals, including legal, medical, and manufacturing sectors. In the initial phase, the solution supported invoices in Romanian, focusing on the accounting services sector. The new concept being developed was an AI-powered platform that could process, self-learn from corrections, and extract key data from multiple types of documents in different formats and languages. The partnership with ICB Digital helped prepare the technical grounds for introducing this technology to the Norwegian market.
The project aimed to address document management challenges by developing an AI-powered platform capable of processing various document types in multiple languages and formats. This solution would improve productivity, reduce paper consumption, and enable professionals to process and access documents remotely. Despite challenges posed by the COVID-19 pandemic and compliance with new regulations, strategic moves and innovations positioned SenseTask well for long-term growth and success.
The project aimed to address significant challenges in document management by developing an AI-powered platform called SenseTask. The activities and outputs of the project were extensive and multifaceted.
Initially, the project focused on creating a Proof of Concept (POC) for an information processing solution. This POC demonstrated the technological capabilities to handle different types of invoices and receipts. By January 2020, a minimum viable product was developed and validated, tested in a medical environment by September 2020. This laid the foundation for incorporating more document forms from various sectors and languages in the future.
The project involved several key activities:
- Development and Testing: The project was divided into three main phases, each lasting six months. The first phase focused on developing APIs, integrating third-party BPM/ERP systems, and supporting non-standard invoices. The second phase included research on knowledge graphs, search mechanisms, and on-premise deployments. The third phase involved designing and configuring commercial customer support packages and services, achieving TRL 8 product readiness.
- Experimental Work: Throughout each phase, ongoing experimental work aimed to improve accuracy, efficiency, and performance. This included adding new document types, integrating additional languages, and enhancing existing ones.
- Product Design and Validation: The project also included product design and validation on the Norwegian market, with the support of the bilateral partner ICB Digital. This partnership helped prepare the technical grounds for introducing the technology to the Norwegian market.
- Purchase and Configuration of IT Equipment: The project involved purchasing and configuring IT equipment, including laptops, servers, and memory cards.
- Management Activities: The project was managed by a team consisting of a full-time Project Manager, Software Architect, AI/Data Scientist, Backend Developer, Web Developer, and a part-time UX/Design contractor. The team was gradually expanded to meet the growing needs of the project.
- Intellectual Property and Publicity: The project allocated resources for intellectual property rights and publicity to ensure visibility and protection of the project''s outcomes.
The outputs of the project included the development of SenseTask, a cloud-based AI-powered platform capable of processing various document types in multiple languages and formats. SenseTask could classify documents into categories such as invoices, receipts, contracts, and more, and extract the desired details for each type. The platform also built a knowledge graph to maximize accessibility and interpretation of the information.
The project achieved significant results, delivering impactful outcomes for various beneficiaries. The primary achievement was the development of SenseTask, an AI-powered platform designed to address document management challenges. This platform can process multiple types of documents in various formats and languages, significantly improving productivity and reducing paper consumption.
For businesses, SenseTask provided a solution to the inefficiencies in document management. Companies that previously struggled with extracting key information from unstructured data and various document formats found SenseTask to be a game-changer. The platform''s ability to classify documents, extract relevant details, and build a knowledge graph of relationships between data points enhanced accessibility and interpretation of information. This led to increased productivity and reduced time spent searching for documents.
The project also had a positive impact on the Romanian market, particularly in the accounting services sector. By supporting invoices in Romanian, SenseTask catered to accounting processing providers, companies with numerous vendors, utility firms, and finance companies. These organizations benefited from the automation of document processing, which streamlined their operations and reduced manual effort. The development and validation of SenseTask in a medical environment demonstrated its versatility and applicability across different sectors. The platform''s ability to handle various document types, including medical documents, showcased its potential to benefit industries such as healthcare, legal, and manufacturing.
Overall, the project successfully addressed document management challenges, delivering a robust AI-powered platform that improved productivity, reduced paper consumption, and enabled remote document processing. The outcomes and impacts of the project benefited businesses in Romania and Norway, positioning SenseTask for long-term growth and success in the intelligent document processing industry.
