The project d@ta.hesed aims at improving the capacity and sustainability of the organization by introducing an e-system for data collection and storage in line with the GDPR. The project seeks to solve two main issues: (1) the introduction of GDPR posed many challenges to the organization in its capacity as personal data operator working annually with more than 900 clients, namely the children and families from 3 large Roma communities in Sofia and Kyustendil, and obliged to ensure the security of their personal data. (2) A major part of the available capacity of the organization is engaged with manual processing of documents and reporting of diverse activities which are financed from different sources. The project will contribute to: 1. aligning the internal procedures related to the new electronic regime of data collection and storage with the GDPR 2. streamlining management and achieving greater transparency of the implementation of activities; 3. streamlining data collection about clients, centralization of making results available to the general public, donor organizations and controlling bodies and institutions by replacing manual reporting with electronic; 4. unblocking time for the expert team and achieving maximum operational and price efficiency when working with clients; 5. boosting the capacity of the team for learning to work with an e-system, training about the rules to apply GDPR. The beneficiaries are the organization’s team and all clients - past, present and potential.

Summary of project results

d@ta.hesed aimed to improve the capacity and sustainability of Health and Social Development Foundation (HESED) by digitizing the process of collecting and storing customer data, with the change being synchronized with the rules of the GDPR. For this purpose, based on an in-depth analysis of organizational processes and interactions, a detailed terms of reference were prepared. For half a year, the foundation''s methodists worked with the programmers of the selected contractor to develop user-friendly, multifunctional, and secure system for storing and processing data of children and families from vulnerable communities.

D@ta.hesed gave us the opportunity to look into the digital future of social services. The project presented a digital solution to two main organizational problems: (1) improving the processes of collection, processing, and storage of personal data of the foundation''s clients regarding GDPR; and (2) improving the processes for reporting the work done by programs, services and specialists and optimization of the work process of the specialists working with clients.

HESED teams were trained on GDPR rules and the use of the d@ta.hesed system.

HESED currently has a modern, multifunctional, and user-friendly system for storing and analysing customer data.  The system can be used simultaneously by all centers and services of the foundation and allows the preparation of reports on pre-set criteria. Beneficiaries of the project were the HESED team and all clients - past, present, and potential.
