Description

EDUCO uses technological tools which have specific level (SalesForce, ES Highlander, shared disc, own website, social media - FB a Instagram). We would like to keep all this technological tools at hight level of use however, organization doesn´t have enougt financial means to cover all expenses. Our employees need specific support form specialists – IT specialists, programmer, marketing consultant and CRM. We have many issues which we need to solve. The main target of this project is to more efficient our systems and softwares which we work on daily use but we could´t use them at the highest possible level (notes from interventions with EDUCO clients and reports, PR activities and fundraising – functioning of organization is addicted on it.

Summary of project results

Before the realization of „Network of help and support families“ project EDUCO had used systems and software on a certain level (CRM SalesForce, ES Highlander, shared disc, website, FB and Instagram). Organization had not finance for development and deeper implementation mentioned tools. Organization was not able to use these tools in an effective way. We had trouble with data security, with mass email sending to clients and givers, with intervention evidence in clients of social service which our organization provide, with functional contact database management in SalesForce, etc. Organization also had not finance for another development of key workers skills during their work with software.

The organization needed help with some steps from experts - programmers, IT specialists, marketing and CRM consultants to streamline the use of its tools. Without the provided funds to pay for external experts, the organization would not be able to independently set up and implement the necessary changes in the tools and software it needs to use on a daily basis (for client registration, communication with givers, data security, communication with the public and potential clients early care, etc.).

Thanks to the project, the challenge was to make the established systems and tools more efficient through the training of key workers, leaders and all members of the team of the organization.

Through the realization of the project and professional consultations with external organizations, it was possible to increase the expertise of our employees, who now use the software more effectively.

The project made it possible to strengthen the competences of the team in the use of these tools and software. There were also implementations of needs into systems with the support of IT and marketing specialists, for which the organization did not have the finance earlier.

A1 Title: ES Highlander development – a consultation with experts and key workers took place, a change of the Highlander system was implemented based on the needs of intervention records for clients, training of leaders of service and social workers.

A2 Title: Sales Force development – ​​a consultations with expert on CRM system took place, via consultations with specialist our key worker did changes in system (changed named subcategories of contacts in the database, changed team members access, trained the leader of service and fundraiser in the field of mass emailing to givers and clients, trained a social worker in SF who uses the volunteer database. The output is raised up competencies of key workers in the team in working with data and the SalesForce CRM system.

A3 Title: NAS server setting – consultations with expert took place. Via these consultations was made hierarchy and competences in using of shared disc, accesses in folders were fixed and VPN access in server has only competent person. It helps to protect the inner data of an organization more than before.

A4 Title: Website support - consultations with expert took place, website settings, key worker was trained. The output is a secured website which is resistant to attacks, plugs updating, mistakes in forms were corrected and other smaller changes.

A5 Title: Interconnection website-FB-Instagram – consultations with marketing expert took place. Another changes were in management of social networks and the connection of both - FB and Instagram channelsand the connection of the website and Instagram. The output is also the possible preparation and planning of network contributions from one place. Embedding a pixel from FB to the website will enable further development of targeted communication towards givers in future FR campaigns.

The project achieved the set results in the activities. It ensured the impacts on the target group of the project in those areas for which the project was written.

A1 Title: ES Highlander development (consultations with specialist, systém changes, training of  teamleader)

Activity output was consultation to ES Highlander, ES Highlander training for leader and deputy worker. Via this consultation we rearanged ES Highlander systém and trained team. We made templates which save social workers time spended by administrative work in clients documentary.

A2 Title: SalesForce development (consultations with specialist, inner training of key workers)

The output is trained team which is able to work acording to CRM organization needs with SalesForce systém – inwrite new contact in system, to change original contact, to sent mass email. Coordinator is able to change and give new access in SalesForce, to change contact categories, to change settings of automatic signatures, to set another templates of mass emails, to export data from SalesForce to Excel atc. We rised up competences of key workers in team. We work more effective, especially in comunication with clients, volunteers and donars.

A3 Title: NAS server settings (consultations with specialist, server settings, training of team)

Via recomendation of consultant we rearanged access to NAS server – each member of team has access by his or her competences. Inner data of organization are more secured now.

A4 Title: Website support (consultations with specialist, website settings, training of key worker) Necessary changes in Wordpress took place. We changed PHP from version 7.3. on version 8.2.6. which was succesful without website outage. We also updated Wordpress from version 5.9.8. on version 6.4.1. Key worker works with secureted website now. Via consultations with specialist, key worker is able to avoid mistakes in editing, which he did before he had these knowledge. 

A5 Title: Websites-FB-Instagram interconnection (consultations with specialist, comunication network setting and suggested changes by specialist, training of key worker). Via consultations took place: Facebook Business Manager settings, manageing and editing FB and Instagram posts at the same time in planer app – it saves fundraisers time.
