Description

We are increasingly aware of the importance of work efficiency. We would therefore like to purchase licenses for 4 programs - Trello (planning), Brevo (sending newsletters), Raynet (CRM tool) and Grantový diář (tracking grant calls). These will serve to improve the performance of the fundraiser, PR worker and volunteer coordinator. With the help of these programs, we expect to increase the number of donors and the amount of donations, increase the capacity of volunteers, use the maximum number of grant calls and better inform the public about our activities.

Summary of project results

The project focused on addressing several key issues and challenges in our organization:

Lack of Efficiency: Our organization faced efficiency issues due to insufficient tools for planning and coordinating activities. We lacked an effective systémfor managing tasks and projects, which led to inefficient use of time and resources.

Poor internal communication: Communication between staff was not effective enough, causing delays and misunderstandings. We needed better tools forsharing information and coordinating teams.

Managing and maintaining contacts: Managing contacts with donors, volunteers and other supporters was inefficient and unsystematic. We lackeda centralized database to effectively manage these relationships, which made communication and relationship development difficult.

Fundraising and grantmaking: Our approach to fundraising and grantmaking was fragmented and not systematic. We needed better tools and strategiesfor identifying opportunities and applying for grants effectively.

The project was designed to address these issues by implementing modern PC programs (Trello, Brevo, Grant Diary and Raynet), training staff to use themand creating systematic databases for contact management. In this way, we have increased our efficiency, improved internal communicationsand strengthened our fundraising and supporter relationship management skills.

 

Activities:

1. Purchase of PC software licenses: We purchased licenses for Trello, Brevo, Grant Diary and Raynet, which provided access to modern toolsfor effective project planning and management.

2. Staff training: Eight staff members were trained in the use of these programs, including the PR officer, volunteer coordinator and other staff members.

3. Creating databases: In Raynet and Brevo we created databases for 200 donors, 156 volunteers and 41 supporters.

4. Active use of PC programs: Staff used the programs to keep track of donors, organize fundraising campaigns, track grant appeals, send newslettersand communicate with volunteers. Trello was used for daily and weekly activity planning.

Outputs:

1. Increased efficiency: The Trello programme has improved planning and coordination, leading to increased efficiency.

2. Centralised databases: Enabled efficient contact management and communication with donors, volunteers and supporters.

3. Successful Grant Acquisition: We submitted several grant applications and successfully obtained funding in four cases.

4. Improved communication: Brevo enabled regular communication with supporters through newsletters and mass emails, which increased engagement.

Fundraising and donor care: we set up a new donor care system and planned fundraising activities for the year ahead.

 

Results:

Increased work efficiency: The implementation of Trello, Brevo, Grant Diary and Raynet has improved the planning and organisation of activities. Staffnow work more efficiently and have a clearer overview of their tasks and projects.

Database creation and management: Databases for 200 donors, 156 volunteers and 41 other supporters were created and effectively managed, improvingour ability to communicate and maintain relationships with these groups.

Successful Grantmaking: Through the Grants Diary program, we submitted several grant applications and were successful in obtaining funding in fourcases, strengthening the financial stability of our organization.

Improved communication: Brevo has enabled regular newsletters and information to be sent out, which has increased engagement and support from oursupporters. We regularly send information to over 80 email addresses on a three-weekly basis.

Fundraising and donor stewardship: Fundraising activities were set up a year in advance and the new donor stewardship system has led to bettermanagement of donor relationships through the Raynet programme.

Impact on target groups:

Employees: More efficient tools and better organisation of work improved working conditions and increased employee satisfaction and productivity.

Donors: The creation of a database and the implementation of a donor care system led to better communication and strengthened donor relations.As a result, we have secured 67 new donor contracts and established several new partnerships.

Volunteers: Regular communication about volunteer activities has increased their involvement and participation in events, which has enhanced our abilityto organize and implement various activities.

Supporters: Better information and involvement of supporters through regular newsletters has strengthened their support and involvement in our activities
