Description

Nowadays, especially after the recent experience with lock-downs due to Covid-19 pandemic situation, we are in a great need to strengthen IT skills and working with client data in our organization. The project responds to the current direction of our organization, where during the last year we started to focus more significantly on the development of services, as well as on the development of internal processes in the organization and communication with the public. Currently, for example, new website was launched, a new visual identity of the organization was created, which is also reflected in our social networks. Cooperation with the IT administrator is agreed - setting up shared disks, etc. The aim of all these activities is to unify the processes in all five regional branches of the organization (Prague, Pilsen, Olomouc, Frýdek-Místek and Rožnov pod Radhoštěm), which still manage a significant part of these aspects by themselves, only with partial coordination with other counseling centers. The consequence is a more difficult sharing of data and information between individual counseling centers, which are often conducted unnecessarily in paper form, non-uniform promotion and appearance on the outside, but above all, a large time allowance for both managers and direct workers, which this decentralized agenda takes up. The project will focus on streamlining and unifying work with client data in 5 ONŽ regional counseling centers for women and families in need. As part of the project, we will prepare the creation of a unified shared database for keeping client data. At the same time, we will train ONŽ employees in the excel program, in which the database will be created so that they will be able to work with it effectively. In the future, the database will simplify work with data for direct employees and managers, enable better statistical processing of data, evaluate the impact of services, but also present services and organizations externally.

Summary of project results

The project responds to the current direction in the ONŽ organisation, where in the last year (especially with the change in the position of
director) we are focusing more on the development of services, as well as the development of internal processes in the organization and communication with
public. For example, a new website has been launched, a new visual identity has been created, which is reflected in the
our social networks. Cooperation with the IT administrator is being arranged - setting up shared drives, etc. The aim of all these activities is
to unify the processes in all five regional branches of the organisation (Prague, Plzeň, Olomouc, Frýdek-Místek and Rožnov pod
Radhoštěm), which so far manage a significant part of these aspects on their own, with only partial coordination with other
counselling centres. As a consequence, it is more difficult to share data and information between the individual counselling centres, often unnecessarily kept in
paper-based, inconsistent promotion and external presentation, but above all a large time commitment for both managers and
direct staff that this non-centralised agenda takes up.

A1. Preparation Client database
This activity will include several consultations with our external IT team
support team, during which we will analyse the needs of our organisation with regard to
for the creation of a simple client database in excel. We will focus on
primarily on what input data we need to enter and output to the database,
we need to track, how to analyse and statistically process the data and
tracking the impact of our services, as well as for presenting the data externally. Although it is
one of the goals of the database is to unify data for all regional counseling offices, we will
take into account the regional specificities of ONJ''s work and data when developing the database.

A2. IT skills training
On the basis of the consultations preceding this project, we are planning a client
database in excel. Therefore, in order to ensure that all our staff
will need to be able to work with the database subsequently, the entire tribal team will need to be trained in this
training.

Due to the realization of only part of the project activities, the impact is only partial so far. Thanks to the training of employees in IT skills, the efficiency of 

work and communication between individual counseling centers was strengthened. Another expected impact related to the use of the client database, 

which was pre-selected within the framework of this project, is the effective storage and analysis of client data and their further use for internal and external 

purposes. Overall, the project will strengthen the process side of the organization, which has been neglected for a long time, compared to the services

themselves.
