Description

This is a design and a development of an event module on the CRM platform Salesforce, which will allow our organization to run workshops, conferences, lectures, webinars, seminars and meetings in both online and offline forms.

Target audiences are:
- Internal members of the organization, i.e. staff, members, volunteers and external collaborators
- Clients from the ranks of non-profit organizations
- Those interested in our services

The entire module will help streamline our work in managing activities so that we have more time for direct work, which focuses primarily on supporting the people from non-profit organizations in the field of digitization and deployment of CRM system Salesforce.

The aim of the project is to maximise the workload and the efficiency of the digitized event management in the partial processes, which we evaluated as having potential for improvement. Due to the ever-increasing interest in our services, we need to optimize processes that will save us the time - and therefore money spent on human labour – and thus, we will be able to focus more on working directly with our clients. The results of such technological improvement will be manifested in practice with immediate effect. We will notice that we do not need to spend much time assigning a contact to a given activity, we will not need to manually send emails and monitor whether the person has paid a possible participation fee, we will not need to manually send details of the event and login details.

Summary of project results

Our goal was to achieve maximum digitization of the organization in the partial processes described below, which should lead to maximum efficiency. The goal was met in the specified time period, taking into account the shift in the start of the project. We have created and deployed a new module in our CRM system. It enables the automated administration of most of our activities:
- training and webinars for clients
- meeting with volunteers (online and offline)
- conference
- training and webinars for the public (online and offline).
Thanks to this, the burden on human resources in our organization was significantly reduced. We optimized the processes and thereby saved financial resources. Now we can focus more on working directly with clients and managing administrative matters using the automation described above, which was the main goal.
Our project had a significant impact for the functioning of our organization and for the service of our clients. In our opinion, the program goal was fulfilled. We assess the impact very positively.
The direct effect is the automation of logging in and administration of our organization''s products, as well as the simplification of these activities for our clients.
The indirect impact is the release of the capacities of our employees, enabling the development of the organization and a larger offer of products, i.e. the implementation of digital tools and training for clients.
