In recent years, the organization has grown significantly. There is little use of the possibilities of online tools. The impetus and finding of shortcomings in this area was also a pandemic situation, when the need arose to work from home and the internal processes in the organization could not take place in the usual way. If this problem is not addressed, it can result in an even greater flood of employees with administrative activities, inefficient communication between branches and less time and energy devoted to working with clients. The project is focused on strengthening the digital competencies of employees in working with MS Office 365 and creating a plan for the implementation of digital innovations to streamline the internal processes of a growing organization. An external digital audit will be carried out, individual and group trainings will be carried out and a plan for the implementation of other digital innovations will be developed to streamline internal processes. The activities of the project include the training of 16 employees by group and individual trainings, which are based on the needs identified from individual evaluations of employees, which take place twice a year. Employees of the organization who undergo training will organize internal training for the rest of the organization and incorporate key procedures into the organization''s internal documents (manual for working with MS Office 365). We assume that the next application will focus on the selection of specific software products to streamline internal processes (approval of personnel documents, travel orders, etc.) and their implementation in practice, including extended training. Another result of this project will be lower consumption of administrative needs, higher environmental sustainability and lower demands on storage space and archiving of printed documents.

Summary of project results

We emphasize the topic of digital technologies within the organization. We included this topic in the annual strategic planning of the entire organization and we created a plan for implementing digital innovations and we determine the minimum level of IT knowledge. Another proof of impact is that we use Teams more often for online and hybrid meetings and gatherings. We share and keep minutes of meetings in OneNote and use Excel spreadsheets more often to keep data records and evidence. When we introduced and consolidated these procedures we saved time and shared information more efficiently. Some of our employees reflected on this improvement during their evaluation interviews and conducted surveys among employees. An important output is the trained leaders and employees and the implementation plan we created. We have realized that we want to continue encouraging face-to-face meetings and communication and use online tools to save time which from our employees would benefit the most.
