Description

The aim of the project is to restart the management methods and tools of the organization “Latvian 4H” so that it becomes a knowledgeable, modern, high-quality organization that effectively guides the organization towards achieving its goals. The project will implement 5 interrelated activities:

-evolve organization development strategy for 2021-2027. year;
- quality management manual introduced;
- effective management tools are in place;
- evaluation procedures in place (M&E approach)
- trained management team of the association.

A well-developed strategy will allow all those involved in the organization''s management process and members to move more purposefully in the direction of the organization''s vision, more purposefully achieve the goals that have been identified as the most important needs of the association.
In turn, developed guidelines and implemented IT tools will promote more efficient use of time, everyone will understand the tasks to be performed, the necessary resources, communication and information dissemination networks will be assessed. The guidelines will also ensure a more consistent quality of work performance by changing staff or replacing staff.A systematic approach to goal setting monitoring and evaluation (M&E) will facilitate the development of the organization, allowing to keep the focus on the most important for the specific period of time, base the evaluation on data, introduce the necessary changes in behavior.
Going through all stages of the project - joint strategy development, acquisition of organizational management and IT tools and methods, consulting, testing, implementation, as well as facilitation and streamlining of work will form a more motivated, satisfied, unified, more effective association managemen

Summary of project results

  • Coordinating an organisation with more than 1500 members in 109 departments is a lot of work, leading to staff burnout and excessive workload, so it was very important for the organisation to streamline and qualitatively improve its management processes - for example, to improve, modernise, automate and digitise various management processes, in particular the implementation of an efficient database, thus reducing the time needed for work and enabling qualitative data analysis. 
     
  • In 2020, the previous strategy for the Society''s activities had come to an end and a new strategy had not yet been developed, so it was important to agree on the main focuses, goals, tasks and activities for the next period. 
     
  • Also, the organisation did not have a quality management guideline in place, so the same mistakes were often made and there was a risk of loss of quality when staff/volunteers changed.

The project has achieved its goal - to reboot the management methods and tools of the organisation to become a knowledgeable, modern, qualitatively managed organisation that effectively leads the organisation towards achieving its goals.

The project has implemented 5 interrelated activities: 

  • development of an organisation development strategy 2021-2027;
  • preparation of a quality management manual;
  • implementation of effective management tools (including IT tools);
  • implementation of evaluation procedures (M&E approach);
  • training of the management team. 

The developed strategy allows the whole organisation to move more purposefully towards the organisation''s vision, to better target the objectives identified as the most important needs of the association. The quality management guidelines developed and IT tools used contribute to a more efficient use of time and other resources, with everyone having a clear understanding of the tasks to be carried out, ensure a higher quality of work, uniform standards throughout the organisation and awareness of them, as well as provide compliance with legal requirements on labour protection and data security. A systematic monitoring and evaluation (M&E) approach to goal-setting contributes to organisational development by keeping the focus on what is most important for a given period of time, basing the evaluation on data, and implementing the necessary changes in action.
