Due to the growth of the citizens'' initiative Semínkovna, which the association Semínkovna, z.s. covers, there is a need to streamline its functioning, communication with individual involved seed libraries, creation of their digital database and CRM. At the same time, with regard to the development of the association and the services offered, it is necessary to update the website, which currently does not meet the legislative requirements or the needs of a growing organization. It is therefore a comprehensive solution for a new web presentation and the creation of a digital database of the individual locations that have joined the initiative (currently 250+) and communication platform.
The target group is the group ofabout 250 founders of seed libraries in the Czech Republic (plus the Slovak Republic and Poland). They are already members of our network and, according to the survey, they would welcome a platform facilitating communication between us and them as well as between themselves. The project will help us to connect more and strengthen this community as a whole, i.e. also with thousands of the end users of the services of individual seed libraries.
Project objectives
• Creation of a modern and attractive website that will meet the legislative requirements and actual needs of the organization.
• Creation of a digital database of seed libraries containing information about their seed supply, activities and contacts - available on the web
• Implementation of the CRM system
• introduction of the Mailig tool for mass mailing
• implementation of Google Workspace
• Use of social media and online communities to promote the Semínkovna, increase citizen involvement and create a network of partners.
Summary of project results
The project aimed to address several key issues and challenges:
- Inefficiency in Operations: The primary challenge was the inefficient functioning of the organization, which hindered its ability to effectively support and manage the growing network of seed libraries. The existing processes were manual and time-consuming, resulting in significant operational inefficiencies.
- Lack of Transparency: There was a need for greater transparency in the organization’s activities and communications. Without a centralized system, it was difficult to maintain clear and consistent communication with the various seed libraries and stakeholders involved in the initiative.
- Outdated and Non-Compliant Website: The existing website was outdated, did not meet current legislative requirements, and failed to reflect the needs of a growing organization. This not only limited the organization’s online presence but also hindered its ability to effectively disseminate information and engage with the community.
- Inadequate Communication Tools: The lack of a digital database and a Customer Relationship Management (CRM) system made it challenging to manage and communicate with the network of seed libraries. There was no efficient way to keep track of the activities, seed offerings, and contacts of the various libraries.
- Insufficient Support and Training for Seed Libraries: The seed libraries lacked adequate support and training on using new digital tools and the updated website, which was necessary for improving their effectiveness and efficiency.
Limited Marketing and Outreach Capabilities: The organization needed to enhance its marketing and outreach efforts to raise awareness about the seed-sharing initiative, attract new members, and build partnerships with potential donors and partners.
The project undertook several key activities:
- Development of a Modern Website: A new, modern website was created on the primary domain seminkovna.cz using WordPress technology. This website complies with current legislative requirements, including GDPR, and integrates Google Analytics for improved marketing efficiency. It consolidates all information about the initiative’s activities, making it accessible and transparent.
- Implementation of Google Workspace: The project implemented Google Workspace for Nonprofits, providing the organization with professional email addresses and enhancing communication capabilities.
- Creation of a Digital Database: A comprehensive digital database of the seed libraries was developed. This database contact details, making it easier to manage and support the network of seed libraries.
- Integration of CRM System: A CRM system was integrated, automating processes with Smartemailing and Raynet applications. This automation reduced manual workload, increased organizational efficiency, and allowed for more targeted communication with the community.
- Training and Support for Seed Libraries: Training sessions were provided to involved seed libraries on how to use the new digital tools and the updated website. We will continue to spread the information via our network by newsletter and on our website and in the Google classroom platform.
Enhanced Communication and Marketing: The project improved communication with the target community and prepared to launch a newsletter for both the community and the general public.
The project achieved several significant results that benefited various stakeholders, particularly the Semínkovna initiative, its network of seed libraries, and the broader community interested in seed sharing. The main outcomes and impacts were:
- Enhanced Organizational Efficiency: The implementation of Google Workspace, along with the integration of CRM tools like Smartemailing and Raynet, streamlined communication and automated manual processes. This saved time and allowed the organization to focus on more strategic tasks. Beneficiaries: The Semínkovna organization and its staff.
- Improved Website and Digital Presence: The creation of a modern, compliant website (seminkovna.cz) provided a centralized platform for all information related to the initiative and the organisation. It enhanced the its online presence, facilitated better information dissemination, and will support marketing and fundraising efforts. Beneficiaries: The general public, potential partners, and donors.
- Comprehensive Digital Database: The development of a digital database of seed libraries allowed for better management and support of the network. Beneficiaries: Seed library coordinators and participants.
- Increased Training and Support: Training sessions for seed libraries on using the new digital tools and the updated website improved their efficiency and effectiveness. This support ensured that seed libraries could easily access information needed, and be visible as part of seed library community. Beneficiaries: Seed library volunteers.
- Long-Term Sustainability and Growth: By addressing the core operational challenges and enhancing the organizational infrastructure, the project laid the foundation for the long-term sustainability and growth of the Semínkovna initiative. Beneficiaries: The Semínkovna organization, its network of seed libraries, and future participants.
Overall, the project significantly improved the efficiency, transparency, and impact of the Semínkovna initiative, benefiting a wide range of stakeholders and contributing to the growth and sustainability of community-based seed sharing.
