Description

Charita Jablunkov is a small non-profit organization that strives to constantly develop within its possibilities. Related to this is the need for greater digitization of the organization, this is the only way the organization can survive and succeed. We have the necessary equipment and software available, but we need expert advice on how to better connect the available systems to make it as user-friendly as possible. As part of the project, we also want to train managers and other workers so that they can fully use these tools. This will lead to simpler and more transparent communication, a reduction in administrative burden, better records, etc.

Summary of project results

The activity of our organization is largely based on teamwork. An individual is an important and necessary part of our organization, but he can do almost nothing by himself. Since our organization is made up of several services and each one is dedicated to different activities, we perceived the slow and inconsistent way of our communication and planning as a big problem, which needed to be solved. Effectively, comprehensively and in accordance with modern times. The administrative burden on workers and the rigidity of some processes were already becoming unbearable. Our organization has been operating since 2001 and many of the once established procedures have remained unchanged until now. Mainly for operational, financial and capacity reasons. 
Recently, we have also increased the number of employees across services and there was no room for training each of them gradually. For that reason, we needed to find a way to solve these problems as efficiently as possible.

As part of the project, we implemented a series of online trainings, where we learned how to work and communicate better in an online environment, as well as how to effectively use the available tools. During the training, which was focused on various topics from the Microsoft 365 area, the employees had the opportunity to listen to the explanation of the trainer, during which they performed the assigned tasks. At the end of each training, the employees had the opportunity to ask the trainers their questions. In addition to the online training, we got access to the digital academy, which contained many other educational videos and tasks related to the topics covered during the online training. As an output from this academy, we were regularly sent evaluation materials in which we could read the success rate of employees in individual educational sections compared to other employees. In the event that any of the employees did not fulfill the assigned tasks, he was invited to correct them. As part of the project, we also participated in training on Equip, which is an information system for social services that is used by our staff on a daily basis. The heads of all services were trained in this area so that they could subsequently pass on the knowledge gained to their subordinates. 
 

The target group was all of our 27 employees. In the project, we involved all employees, including our director, executives and all the others workers across all our services. On the basis of the project, we clearly accelerated the method of our internal communication. It became not only faster, but also more comprehensible and clear. We managed to connect communication channels across all services. Our employees are also now able to complete all administrative matters more quickly and, based on this, they have more time left for their other, more important work duties. Based on the results that were regularly sent to us after individual trainings, we selected two employees who achieved the best results and will now fulfill the function of digitalization ambassadors in the organization and will continue to provide support to existing employees and also new arrivals in the future. Digital skills are an important part of the daily work of our employees, and therefore the skills they acquired during training can be used daily and thus constantly reminded and stored in memory, thus preventing them from being forgotten, then not being used and returning to the old, rigid way of use digital tools.
