In the project we will focus on the digitization of our organization. The project aims to use digital tools for the work, activities, and services of the organization in a targeted and more effective way. This year we have switched to a cloud-based Microsoft 365 solution, but we don''t know how to use it yet. We would like to train staff and set up processes to use this cloud solution - Sharepoint, Onedrive, Teams etc. We would also like to create an internal knowledge base for this solution. We would also like to train employees in cyber security. The problem we face is the lack of knowledge and use of the Microsoft 365 cloud solution and its functionalities (Sharepoint, Onedrive, Teams, Outlook, etc.) and insufficient data protection. The root cause of this problem is the lack of employee training in digital tools, the lack of awareness of the dangers of cyber threats, and the lack of internal processes and guidelines for the proper use of digital tools. We also lack a central repository of information for internal (not just digital) processes and procedures. Employees lack visibility into the organization''s proper procedures and policies, which can lead to inefficiencies and inconsistent operations. The project aims to address these issues, improve knowledge and use of cloud solutions, increase awareness of data protection and handling, and create a knowledge base for employees that includes both digital tools and internal processes. We provide comprehensive training for employees in Microsoft 365 and its functionalities (Sharepoint, Onedrive, Teams, Outlook, etc.), including practical exercises and demonstrations. We will develop and implement clearly defined guidelines and procedures for using digital tools and working with data. We will create a central repository of documentation (knowledge base) containing information on internal (not only digital) processes and procedures. Staff will be trained to protect data and minimize the risk of data leakage or damage.
Summary of project results
The main issue was insufficient knowledge and use of the cloud solution Microsoft 365 (SharePoint, OneDrive, Teams, Outlook) and inadequate data protection. This problem was caused by the lack of employee training in digital tools, insufficient awareness of cyber threats, and lack of internal processes and guidelines for the proper use of digital tools.
The project consisted of three main parts: A1: Employee training in the use of the Microsoft 365 cloud solution and its functions. A2: Employee training in cybersecurity. A3: Creation of an intranet using Microsoft 365 tools, serving as a central repository for documentation and knowledge.
During the project:
Four training sessions on Microsoft 365 were conducted, attended by a total of 75 employees (18 organizational leaders).
Four training sessions on cybersecurity were conducted, attended by 60 employees (18 organizational leaders).
An intranet was created and launched in April 2024, actively used by 44 employees with 424 views.
The project significantly improved the company''s efficiency in planning, organization, communication, and task execution. The improved use of ICT tools enhanced data security and internal processes. Employees now feel safer and more confident using digital tools, leading to higher efficiency and success in fulfilling their tasks. The main beneficiaries of the project are the company''s employees, who now benefit from better organization and work efficiency, positively impacting the quality of services provided to clients.
