The association Rosteme s dětmi (We are growing with children) was established in 2016 in the Beskydy mountains and founded the Jasánek Forest Club. The association gradually expanded to include the school group Jasan and the second branch for preschool children, Jasněnka. The growing team of members of the association (families) of the community school and kindergartens and, as well as the teaching staff, requires unification and simplification of the organization, administration and communication of the association after more than 6 years of activity. Therefore, we need to design functional solutions for communication across the association, simplification of processes and digital transformation.
Summary of project results
Since its inception in 2016, the association Rosteme s detmi has gradually grown into 2 clubs for preschool-age children and one for school-age children, and currently unites more than 60 families. With such a large number of interested people, there was a need for more effective communication not only between employees and between teachers and parents, but also between individual members of the association. The system would also be used for sharing monthly plans of individual clubs, weekly reports or sharing photos.
An equally important part is the children''s attendance system. An attendance system of this type already exists, but unfortunately it cannot be purchased once and regular payment is required - now it is in the cheapest version of an annual subscription of CZK 9,999/year per club. We have 3...
We needed to create a system tailored to our needs, everything available in one place and only internal - for users who are registered for association membership.
A functional solution for communication across the association was designed, processes and digital transformation were simplified + an attendance system was created. The basic starting point was the use of the free service package Google Workspace for Non-Profit (GWNP). A system tailored to the needs of the organization and members of the association was created, everything connected and accessible in one place.

All parts of the association were connected, as well as communication between teachers, parents and children. A document management system was created, data storage for photo and document archives. Furthermore, a fully functional and easily manageable attendance system for all three clubs belonging to the association was set up. A functional solution was created for communication across the association and to simplify the work of team members.
