Description
The project is needed to lower administrative load. Today we are facing a situation where we are stuck for quite a lot of time with administrative processes as they are all done manually and using only basic free tools. Through creating a semi-automated registration system, we will be able to provide our activities to a wider spectrum of participants. Thanks to the lowering the administrative load, we will be able to connect and include participants from socially excluded families, and most importantly, their children. The goal of this project is to rise efficiency of administration of participants ‘applications and thereby raising the availability of our activities to wider range of participants together with lowering the current administrative load. The beneficent of this project are participants of our activities themselves. Thanks to the possibility to create a semi-automated registration system, we will be able to lower the administrative load and therefore we will have more time to create and organize activities.
Summary of project results
The goal of the project was the acquisition of a registration system that will reduce the time and administrative complexity of registering and managing applications. An online registration system with automatic responses to registered users was developed and implemented. By introducing this system, we were able to expand our portfolio of events by another 2 locations within the Czech Republic (Jeseníky and Vysočina). We register applications not only from the Moravian-Silesian Region, but also from the Vysočina Region, Olomouc Region and South Moravia. The main knowledge gained during the implementation of the project was the experience in the field of communication with the supplier, in particular we learned to formulate our requirements and needs precisely and uncompromisingly. We learned how to operate the new system, increasing our own IT skills. We have recently started thinking about providing the service on a larger scale.
The result of the project was, on the one hand, a significant saving of time in the administration, and, thanks to the created registration system, we were able to reach children from other locations in the Czech Republic - from Vysočina and Jeseníky, and offer more opportunities to engage in physical activity that does not require financial support from the participants. We have thus achieved qualitative changes (faster, more professional response for participants) and quantitative changes (expansion of additional options - locations and thus an increase in the possible number of participants). Through the project, we achieved significantly higher digitalization of our association.
